Providing tutors with course and class information

Once a tutor record with a valid email address has been created within your onCourse database, they can log in on your onCourse website to edit their contact details, view upcoming classes, confirm their availability, access class rolls, and subscribe to their timetables.

Logging in

To log in, go to your colleges home page and click on the link “Log in”. You will be asked to enter your first name, last name, email and password. This information needs to match the details provided to the college. e.g. don’t enter the name Rob Smith, if the contact details the college has are for Robert Smith.

If you don’t know your password, click the ‘email me my password’ button. If you have entered the same contact details as the college has on file, you will be promptly sent an email with your password. If you provide a different email address, you will not be recognised as a valid user. This is for security reasons, so one else can change your contact details or access information about your classes. Once you have successfully logged in you can change your email address or password if you like.

Modifying contact details

When you have successfully logged in, the first screen you will see will display your contact details. You can update these as necessary, and the information in the office software, onCourse, will be updated too.

Automatically updating timetables

onCourse web includes built in calendars showing all classes that tutors have been assigned. Once a user has logged in to your college website, they will have access to their timetables as well as an option to subscribe to their calendar from their desktop calendaring product, such as outlook or iCal.

When tutors are logged in, they can see the classes they are linked to (upcoming, commenced and completed) and can confirm both their availability to teach the class and that the advertising content is correct.

Even classes which you have not web enabled, but have assigned a tutor too, are visible in the tutor portal. This allows you as a college to engage in your planning activities with staff, without having to publicly publish classes that are “in progress” for approval and enrolment.

To confirm class details, click on the link “Review class info” and complete as required.

Tutor confirmations automatically are populated into your onCourse client. Any suggestions for changes to advertising content are emailed to the college, so that control remains with the college on accepting, and processing the changes.

Subscribing to online calendars

All you need is a calendar application that supports the iCalendar standard. There are several excellent calendar applications available for each major operating system.

  • Macintosh: iCal, Mozilla Calendar, Sunbird, Zimbra, DayChaser
  • Windows: Microsoft Works (Version 8 or higher), WinDates, Mozilla Calendar, Sunbird, Zimbra
  • Linux: Novell Evolution, KOrganizer, Kronolith, Mozilla Calendar, Sunbird, Zimbra

To subscribe to a calendar feed, click the “subscribe” link on the timetables page.

This will then allow you to choose an application with which to subscribe, and you will be given a unique URL that will remain as your feed into the future, with new classes automatically appearing in your timetable as they are scheduled.

Rolls and Attendance

Tutors can also see more information regarding their classes than are publicly available. For example, a tutor can see the minimum and maximum numbers you have assigned to a class (helpful for estimating if classes will be running as scheduled) and also how many students are currently enrolled.

Tutors can also access the full class roll and mark the attendance for each session online.
