Sales and general office manager. PA to the Director.
The role includes:
personal assistant to the managing director
customer management: working with existing customers managing their needs and expectations. This role is the first line in dealing with all customers and potential customers
bookkeeping, creating orders and issuing invoices is an important part of this role
general office management
We require a bright motivated individual able to take on a wide range of duties in a software development business. You would need to be highly organised, able to manage your own tasks, establish rapport with customers and perform the day to day administration which keeps a business functioning. The business is exciting and there are always new challenges to accomplish with the technology tools we create and publish.
This is a key role in the business and the ideal applicant will be able to forge strong relationships with our customers in addition to being a positive guiding hand for our entire team. For someone with writing skills we’d be able to put those to use writing blog entries, replying on our forums and updating our website.
The role is made up of the following elements:
10% answering phones and incoming email: directing enquiries to the appropriate staff member
25% bookkeeping – entering invoices, purchase and sales orders, composing quotes, maintaining price lists and relevant records
25% dealing with customers to process renewals and sales; assisting the technical team to issue quotes
10% small, assorted tasks such as banking, office upkeep, filing and other office organisation
10% payroll and assisting with other HR administrative issues
20% PA tasks: making appointments, assisting the MD with liaising with vendors/customers, email management
Skills
Demonstrated skills and experience, together with positive attitude and a strong work ethic, are vastly more important than formal qualifications. Essential are:
the ability to write and communicate in a clear and understandable way
knowledge of basic book-keeping concepts and the creation of budgets and spreadsheets
calmness and focus with the ability to co-ordinate a long to-do list
a desire to assist and guide others
an aptitude with technology and the ability to be able to pick up new skills quickly
It would be useful but not essential to have had previous experience working with software developers or in a technology company.
