Importing XML data

Using a published XML format you will be able to migrate your data easily to onCourse, so as long as you are able to export to this format from your existing system. This will bring across students, sites, rooms, courses, classes, tutors, enrolments and outcomes to onCourse.

In order to perform this import, connect onCourse client to the server. After logging in, choose “File” -> “Import/Export” -> “Import XML”. Choose your XML data file and let the process run to completion (this will take some time for large datasets). It is usual to begin this process with a clean, empty data file, however that is not necessary.

Note that the import process validates every record as it is imported. If validation errors occur (eg. a student birth date in the future) that record will be rejected and logged in an error file.

Schema details

The XML schema is documented in the formal XML schema and in a more friendly to read set of user documentation

GLEP export helper

To make it easier to export data from GLEP into the required XML format, we have created a GLEP export helper. You need a copy of your GLEP data file and a copy of 4D 2003 standalone (demo version is fine). 4d 2003 standalone can be obtained from here. You will also require our GLEP export helper tool which can be obtained by contacting ish.

Open your data file with the GLEP export helper within 4D Standalone (not 4D Server). If you are using a demo version of 4D you will get to a license screen in which you can click “demo”. Click the large “Export” button which creates an export.xml file with the data from GLEP.

Export helpers for other legacy enrolment systems

Please contact ish for tools which can help you export data from your legacy databases.
