ish onCourse is a comprehensive marketing and enrolment system designed for short course providers. It is designed to work how you do through the process of creating and marketing a course, scheduling classes, timetabling resources such as tutors and rooms, and enrolling students with a minimum of fuss. With intuitive navigation, clairvoyant fields and powerful customisation options with onCourse you will be up and running classes in no time.
Who is onCourse for?
onCourse has been written for colleges with as few as several hundred enrolments per year. It scales easily to accommodate large colleges with thousands of enrolments per week. It is written with a focus on the Australian environment, however it will work in any country and with most sales tax systems, and with built in features to support AQTF standards and AVETMISS compliance, is ideal for RTOs. Your data – your place
Your students, your data, at your place. Unlike other fully web-based enrolment systems, with onCourse you have complete control of your most important business resource and who has access to it. You have direct access to the raw data in the database should you ever want to export it or produce your own reports. And you don’t have to worry - if your provider goes out of business or things turn ugly, you wont have to go to court to get your data back. onCourse server will happily run on anything from your workstation, existing file server or dedicated enterprise grade hardware. Of course, you could also choose to purchase a server-in-a-box solution or we can provide a fully hosted solution that allows you to use our hardware and an internet connection to access your data. Flexible access
onCourse has been optimised so that it can run over a remote network (such as a VPN between offices). This means that you can have the server located in your main office, with complete control over your own data, and still allow access to remote sites or tutors. It will not be quite as fast, but if your head office has a decent ADSL connection it is very usable for everyday work. Remember, onCourse is not a web application, so you get the full power of an intuitive user interface rather than a restrictive web browser with only one window. Concept differentiation between courses and classes
As a training organisation you design courses, but sell classes. For example, you might offer a course called Yoga 101, but sell ten different classes, held at different times, with different tutors at different venues with various numbers of sessions and a range of class fees. Multitasking with multiple windows
In onCourse, you can open and work with a range of windows simultaneously, with the added extra of drag and drop to bring data between windows. For example, if you want to assign a tutor to a class, you can type in their name (and the clairvoyant field will select it from the list) or you can drag them from the tutor window. With menus, quick key commands, and links to related pages within windows, you can always move between data quickly and efficiently. Layout your database with the windows you most commonly use, where you want them, at a size that is convenient for you – and onCourse remembers where you left them for the next time you open the program.
Timetables & venue scheduling
By adding the details of each teaching venue to onCourse, you can unlock the power of the timetables feature to avoid scheduling conflicts for your classes, plus provide in an instant visual overview of your scheduled classes by tutor, course, class site or room.
Built in and custom reports
Your most common queries and searches can be saved in public or private lists within onCourse to save you time every time you want to work with a particular group of data. When you need more detailed information, a range of standard reports are included in onCourse, with the added flexibility of customised reports available as you need them. CRM with SMS & Email
Like any business, your relationship with the people who purchase your product is key to ongoing success. Having the information you need at your fingertips is integral to onCourse – contact details, course history and academic results. Plus you can link companies with tutors and students to simplify corporate training contracts. But even better than that is the ease in which you can contact and continue to market to your customer base. With an optional subscription service you can send an email or SMS to all students who completed Russian Philosophy 101 to let them know the 102 course is now available. Design-a-database
No two colleges are the same, and no two colleges want to group and work with their data in quite the same way. onCourse has the capacity to be a DIY Database using a clever concept we call tagging, but you might call fitting software to your business, instead of having to fit your business to the software. No fuss site content creation
A feature central to the way onCourse works is the simple integration of your courses and classes with your website. By using subject tags you can define the way your classes are laid out for students to navigate through. onCourse also allows you to create and upload the layout and copy for the static pages of your website for things like your college policies and procedures, so there is no need to go to a web designer or fiddle around with ftp programs to add pages or make changes to them. Automatic content updates
The power of a website means you have unlimited capacity for how much information you can provide to students to assist them in selecting the class that is best for them. You can attach images, pdfs or other files to course or class descriptions, such as ’what to bring’ lists or sample software files that accompany course textbooks. When you set up your courses and classes, you can choose when go live and advertise them on the web, class by class. Once you have given advertising approval, the rest happens with out you having to worry about it. Change course description, times or locations, your website changes automatically (in 15 minutes or less). Places left in classes update continuously. Real time online enrolments
Advertise your courses on your site and students can browse, shortlist their preferred classes, then enrol and pay online. Students see what you do - how many places are left, if a course is still open for enrolments or if you have cancelled a program. Replication back to your site is in real time and built in fail-safes prevent two students, or admin staff and an online student ’double booking’ the last place in a class. Secure payment gateway
For students, paying course fees over the web using their credit card is a much more secure option than faxing, mailing or even giving their details over the phone. All transactions over your website are fully encrypted and all credit card details are processed by the secure payment gateway and are not permanently stored in your database. It only takes about 10 seconds for payments to be confirmed and the enrolment to be accepted into onCourse.
Integrated email notifications
When students enrol over the web, onCourse automatically sends them enrolment information and a tax invoice by email. This can include what to bring lists, venue maps and more. This environmentally friendly way of providing information to your students not only saves on postage but also encourages students to continue to interact with the college through your web site and by email, and to continue to expect useful information from you by email, paving the way for future promotional and marketing contact.
Promotional marketing with discount codes
An innovative solution to a common problem – you need a few more enrolments to get a class viable. Instead of phoning a friend and cajoling them to enrol, try creating a promotional code that gives a worthwhile discount to students who enrol within, say, the next 24 hours and email it to students who have attended similar classes previously. Using the SMS & email functionality in conjunction with discounts and promotional codes your only limit to rewarding student loyalty and encouraging enrolments in your programs is your imagination. Included in onCourse web is a licence to use the outstanding maps product designed by the good people of Google. You can pinpoint your classes venue location on a zoomable street directory map, and then students just type their address to get detailed directions… all built right in to your website. All you have to do to make this funky feature work is get the coordinates here for each venue, enter them into your onCourse database and hey presto, you’ve got maps!

Personalised student website access
All students who provide you with an email address can be supplied with a personalised user name and password which they can use to log in to your website. From there, they can update their details, view their enrolment history, access their class timetables and academic results and access student-only website content.
Tutor staff access
Manage a diverse and often remote group of staff effectively by supplying each of them with a user name and password into your website. There they can view their running and proposed class timetables, suggest changes to advertising content for their classes and access tutor-only website content.

onCourse for RTOs - Vocational Education & AQTF 2007 Compliance

Integrated NTIS database
onCourse has built in Qualifications, Accredited Courses, Units of Competency and module detail, downloaded from NTIS. This ensures that you have the most up to date competency names and codes to select from, which prevents time wasting typos on certificates and advertising materials. Administrators can select both the Qualifications and Units approved for delivery at your College, adding another level of quality control to your course development process.
Certificates and transcripts
AQF compliant Statements of Attainment, Qualifications and Transcripts are available in onCourse, in conjunction with certificates of attendance for students completing non-accredited training programs. All created certificates are saved and searchable for future record checks or re-issuing.
AVETMISS
With the focus in AQTF 2007 on quality indicators, including competency completion rates, the ability to generate accurate AVETMISS records (even if you are not currently required to submit this data) will assist you in providing highly detailed evidence to your STA of your classes delivered and qualifications awarded. NSW Training Market ePayments compliance
For RTOs delivering SSP and/or ATTP programs, you must be able to export and lodge a modified set of AVETMISS standards to receive your program funding. onCourse makes it easy to lodge the various staged payments, without the need for you to make changes to your data to ensure both compliance with both the ePayment system and normal AVETMISS standards.
Tutor Management
With centralised tutor management, you can set up tutor contact details, link tutors to classes, and contact them by email or SMS. However, you can choose to go much further by attaching files such as resumes and scanned qualifications to their staff records, plus linking them to qualifications and units they are approved to train and/or assess at your college, allowing you to generate up-to-date tutor matrices at the click of a button. As an administrator, should you choose to turn on scheduling restrictions, you can add an additional dimension of quality control by ensuring only tutors approved to train or assess a particular unit are able to be linked classes that contain that unit.
Student surveys
Available as an optional component of onCourse, are fully customisable client satisfaction surveys to enable you to collect, record and report on valuable data from employers, students or industry associates.
